Start with the incoming timber
Record the supplier and producer details available for each source. Connect the relevant products and supporting documentation rather than relying on a folder name or an email thread. If information is missing, identify the specific gap so the follow-up with the supplier is clear.
Keep source plots connected
The platform supports point and polygon geolocation records, along with validation states. Plot records can be associated with producers and supporting documents. Geometry validation helps identify data problems; a valid polygon by itself does not establish that timber is deforestation-free or legally produced.
Prepare the relevant documentation
Where a DDS preparation workflow is appropriate, use saved products and source records to build a draft. Reusable templates reduce repeated data entry. Review pre-submission findings and resolve errors before proceeding. The software workflow does not determine your legal role for you.
Give each person a clear responsibility
A preparer can assemble and check information, while submission permissions can be assigned separately. Read-only auditor access allows records and the audit trail to be reviewed without giving someone editing rights. Small teams can use the same workspace without creating an unnecessarily complex process.
